Office Manager – Executive Management

Abu Dhabi

FULLTIME

1. Duties and Responsibilities

Executive Support to COO

  • Act as the primary point of contact between the COO and internal employees/external stakeholders
  • Manage COO’s calendar, priorities, meetings, and follow-ups
  • Prepare reports, dashboards, and presentations for management review

Operations & Coordination

  • Ensure alignment between departments and timely execution of tasks
  • Monitor and follow up on project timelines, deliverables, and KPIs

Office & Administration Management

  • Manage overall office operations, facilities, and vendor relationships
  • Oversee procurement of office supplies, services, and contracts

Governance & Compliance

  • Ensure adherence to company policies, procedures, and regulatory requirements
  • Maintain proper documentation, filing systems, and record control
  • Support internal audits and ensure compliance with financial and operational standards

Communication & Reporting

  • Facilitate effective communication across departments
  • Prepare weekly/monthly operational reports for the COO

2. Working Days/Hours

  • Monday to Friday, 9AM to 5PM
  • Flexibility in working days/hours based on job requirement

3. Education, Licensure, and Training

  • Bachelor’s degree in Business Administration, Management, or related field

4. Professional Experience

  • Minimum 5–8 years of experience in Office Management / Operations / Executive Support
  • Experience in financial services, investment, or corporate environments preferred

  • Strong organizational and multitasking abilities
  • Excellent communication and stakeholder management skills
  • High level of confidentiality and professionalism
  • Strong analytical and problem-solving skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in MS Office, reporting tools, and workflow systems
